Using Zapier with QR Dex

Overview

Zapier is an automation platform that connects thousands of apps without requiring any code. By linking QR Dex to Zapier, you can build automated workflows -- called Zaps -- that trigger whenever someone scans one of your QR codes. This opens up nearly unlimited possibilities for routing scan data to the tools your team already uses, from Slack and Google Sheets to email marketing platforms and CRM systems.

Requirements

  • QR Dex Plus plan or higher -- The Zapier integration is available on the Plus, Pro, and Enterprise plans.
  • A Zapier account -- A free Zapier account works for simple Zaps, though multi-step Zaps require a paid Zapier plan.
  • Team owner permissions -- Only team owners can enable integrations in QR Dex.

How to Connect QR Dex to Zapier

  1. Go to your team page. From your QR Dex dashboard, click Team in the top navigation bar, then click the Integrations button.
  2. Find the Zapier section. Locate the Zapier card in the list of available integrations.
  3. Follow the link to Zapier. Click the link to open the QR Dex integration page on Zapier. From there, you can create new Zaps using QR Dex as a trigger app. Zapier will prompt you to sign in to your QR Dex account and authorize the connection.
  4. Build your first Zap. Select QR Code Scanned as the trigger event, then choose the action app and configure what should happen when a scan occurs.

Popular Zaps

Here are some of the most common workflows QR Dex users build with Zapier:

  • Send a Slack notification on scan. Get an instant message in a Slack channel every time a specific QR code is scanned. This is useful for monitoring event check-ins, tracking asset usage, or alerting your team to customer engagement in real time.
  • Add scan data to Google Sheets. Automatically append a new row to a Google Sheets spreadsheet for each scan, including the timestamp, location, device type, and QR code name. This creates a simple, shareable log that anyone on your team can access.
  • Trigger an email follow-up after a scan. Send a personalized email through Gmail, Mailchimp, or another email tool when someone scans a QR code. For example, after a trade show attendee scans your booth QR code, automatically send them a welcome email with additional resources.
  • Create a CRM record on scan. Automatically create a new contact or lead in your CRM (HubSpot, Salesforce, Pipedrive, or others) when a scan is detected. This ensures no engagement goes unrecorded, even if you are not using a direct CRM integration.

Available Trigger Data

When a Zap is triggered by a QR code scan, the following data is available for use in your workflow:

  • QR code name and ID
  • Destination URL
  • Scan timestamp
  • Approximate location (city and country)
  • Device type and operating system
  • Browser or scanning app

Tips for Building Effective Zaps

  • Use filters -- Zapier filters let you run actions only when certain conditions are met. For example, trigger a Slack notification only for scans from a specific country or for a specific QR code.
  • Test before going live -- Always use Zapier's test feature to verify that data flows correctly before turning your Zap on.
  • Monitor your Zap history -- Check the Zapier task history periodically to ensure your Zaps are running without errors.
  • Combine multiple actions -- Multi-step Zaps let you chain several actions together. For instance, log a scan to Google Sheets and send a Slack notification in the same Zap.
