Connecting HubSpot to QR Dex

Overview

The HubSpot integration lets you bridge the gap between physical QR code interactions and your digital CRM workflows. Once connected, QR Dex automatically syncs scan data with your HubSpot account, giving your sales and marketing teams real-time visibility into how contacts are engaging with your QR codes. Every scan can create or update contact records, log activities, and trigger automated follow-ups -- all without manual data entry.

Requirements

  • QR Dex Plus plan or higher -- Integrations are available on the Plus, Pro, and Enterprise plans.
  • A HubSpot account -- Any HubSpot tier works (Free, Starter, Professional, or Enterprise).
  • Team owner permissions -- Only team owners can configure integrations.

How to Connect HubSpot

Follow these steps to set up the integration:

  1. Go to your team page. From your QR Dex dashboard, click Team in the top navigation bar, then click the Integrations button.
  2. Find HubSpot and click Connect. In the list of available integrations, locate the HubSpot card and click the Connect button.
  3. Authorize QR Dex in HubSpot. You will be redirected to HubSpot's OAuth authorization page. Sign in to your HubSpot account if prompted, then review the permissions QR Dex is requesting and click Grant access. QR Dex requests only the permissions it needs to create and update contacts and log activities.
  4. Configure sync settings. After authorization, you will be returned to QR Dex where you can configure how scan data flows into HubSpot. Choose which QR codes should sync, whether new contacts should be created automatically, and which activity types to log.

What the Integration Does

Once connected, the HubSpot integration provides several capabilities:

  • Contact syncing -- When a scan is associated with a known contact (for example, through a personalized QR code or a form submission), QR Dex updates the corresponding HubSpot contact record with scan details.
  • Activity logging -- Each scan is logged as an activity on the contact timeline in HubSpot, giving your team a complete picture of engagement across both digital and physical touchpoints.
  • CRM-powered follow-ups -- Use HubSpot workflows to trigger automated emails, task assignments, or deal creation based on QR code scan events. For example, you could send a follow-up email within an hour of a trade show booth scan.
  • Reporting -- Combine QR Dex scan data with your existing HubSpot reports to measure the full impact of offline marketing campaigns.

Disconnecting the Integration

If you need to remove the HubSpot connection, return to your team page and click Integrations and click Disconnect on the HubSpot card. Previously synced data will remain in HubSpot, but no new scan data will be sent.

Troubleshooting

  • Authorization failed -- Make sure you are signing into the correct HubSpot account and that you have admin permissions in HubSpot.
  • Data not syncing -- Check that the integration status shows as "Connected" in your settings. If the status shows an error, try disconnecting and reconnecting.
  • Missing contacts -- Only scans associated with identifiable contacts are synced. Anonymous scans do not create new contacts unless you have enabled automatic contact creation in your sync settings.
